Competition Logistics Guidelines

Housing

  • Booking.com: Use to book hotels. Always get the free cancellation, pay later option.

  • Look if the competition has discounted rates

  • Airbnb: Check for better options (compared to hotels)

  • If it comes out to a large amount ($2000+), email our program manager at CSI to book it for us.

    • Current PM: Darin Martin

    • Include link to the place, dates, number of rooms, what type of rooms, etc.

  • Try to book under someone who will be at pre-inspection (Chief EE?)

Truck

  • Penske - we already have a relationship established with the Medford, MA branch, and are always willing to cut costs where they can.

Transportation

  • Carpool system

  • University vans

  • Flights cannot be covered by the club/university

General

  • Upload all confirmations to the Competition Logistics Folder

  • Send the confirmation to the person who it’s booked under

Documentation

  • One for each competition

  • Comp docs vary depending on what competition it’s for

  • Big Binder of Stuff

  • Interest form

    • FSAE (for the future, include question of flying or driving)

    • FHE

  • Logistics

    • Once attendees are confirmed, more details are required

    • Sleeping: Preferences for Sharing Beds, Air Mattresses
