Team Member (Finance Associate) Expectations

  • Attend all weekly Business meetings

  • If unable to attend a meeting, message the Treasurer and send updates in the #finance Slack channel prior to the meeting being missed

  • Communicate with Treasurer regularly on topics including bandwidth / capacity, workload, questions/roadblocks, progress, or new ideas

  • The expected time commitment for a dedicated member is at least 5 hours per week

Details

Annual Budget:

Create and submit a proposed annual budget to SAF each year with sufficient justification to ensure NER’s annual budget grows or maintains in size. Complete all required bi-annual spending reports and ensure compliance with SAF Manual guidelines for the proper expenditure of the annual budget.

Reimbursement Processing

Track all club expenditures and SABO reimbursements to ensure purchased items are received and reimbursement funds are disbursed in a timely manner. Categorize and track purchased items to enable transparency into club spending and historical data of what was purchased for what purposes.

Internal Budgeting

Build financial report spreadsheets and graphical dashboards to enable faster and easier financial decision-making by club leadership. Allocate budgets to engineering and non-engineering projects and budget categories based on the compilation of all income sources and the needs of projects as dictated by engineering leadership. Make note of overspending issues for projects that go over budget to assist PMO with project budget tracking.

Sponsorships

Create and maintain a sponsorship packet. Determine and update benefit levels for sponsors. Ensure sponsorship commitments are met. Contact potential sponsors and maintain communication about sponsorship opportunities. Grow sponsorship funding to supplement university funding.

Vendor Management

Manage all club vendor accounts. Create new vendor accounts when needed, and work to ensure accounts maintain proper tax exemptions. Assist club members with understanding vendor account usage and resolve issues with vendors.

Company Visits & Alumni Outreach

Serve as the main point of contact for alumni, companies, or other groups who wish to present to NER or visit the club and observe ongoing work. Contact NER alumni to arrange visits from alumni and/or alumni employers. Maintain a database of Alumni contacts. Handle logistics and scheduling for visitors. Facilitate any post-visit work such as posting job applications internally and disseminating company contact information. Create a list of potential visits and work to secure top options. Foster positive relationships with companies and alumni as potential future sponsorship opportunities.
